Create Purchase Orders

Purchase Orders help businesses track incoming inventory, manage vendor purchases, and maintain accurate inventory and cost records.

In C2W Inventory, Purchase Orders can be created manually or by batch copying items from Excel.

Once a Purchase Order is created, the system automatically tracks receiving status, payment status, inventory updates, and vendor purchasing history.

Important

Before creating a Purchase Order, make sure the vendor already exists in the system.

Creating a Purchase Order

Open the Purchasing Module.

Click New Purchase Order.

Select a Vendor from the dropdown list.

The system automatically populates the vendor’s saved information, such as billing address, shipping address, payment terms, and tax settings.

Enter any additional Purchase Order details if needed.
Purchase Order Header

Once the vendor is selected, the system automatically populates predefined vendor information.

The PO Number is generated automatically by the system using the prefix: PO-

 

Users can also enter additional purchasing information.

 

Purchase Order Totals

The system automatically calculates the following totals when items are added or updated.

 

 

Total = Sub Total + Freight + Discount + Tax

Adding Items to the Purchase Order

There are two ways to add items into the Purchase Order.

 

Option 1: Add Items Manually

Use the item dropdown to search for an item.

Or type the first few characters of the item number or item name.

The system will automatically show related matching items.

Select the correct item from the list.

Enter the Quantity.

Enter the Unit Cost.

Review the Line Total.

Repeat the process for additional items.

The system automatically recalculates the Purchase Order totals.

 

Option 2: Batch Copy Items from Excel

Users can quickly import multiple items into the Purchase Order using the Batch Copy Items feature.

 

The Excel format should contain the following columns:

 

  • Item
  • Quantity
  • Unit Price

Prepare the item list in Excel.

Select and copy the cells using CTRL+C.

Click the Batch Copy Items button.

The copied data automatically populates into the Purchase Order.

Review totals and click Save.
Purchase Order Status Tracking

After the Purchase Order is saved, the system automatically tracks related purchasing activity.

 

  • Inventory Receiving Status
  • Payment Status
  • Receiving History
  • Vendor Order History

Purchase Orders can later be partially received, fully received, marked as paid, or updated if necessary.

Tip

Keeping vendor information and item pricing updated helps speed up Purchase Order creation and improves order accuracy.
