Create Sales Orders

Sales Orders are used to manage customer orders, track ordered items, and prepare orders for picking and fulfillment.

In C2W Inventory, Sales Orders can be created manually or by batch copying items from Excel.

Once a Sales Order is created, the system can track order status, picking status, payment status, shipment activity, and customer order history.

Important

Before creating a Sales Order, make sure the customer already exists in the system.

Creating a Sales Order

Open the Sales Module.

Click New Sales Order.

Select a Customer from the dropdown list.

The system automatically populates the customer’s saved information, such as billing address, shipping address, payment terms, and taxing scheme.

Enter any additional Sales Order details if needed.
Sales Order Header

Once the customer is selected, the system automatically populates predefined customer information.

 

This may include:

 

 The Sales Order Number is generated automatically by the system using the prefix: SO-

 

Users can also enter additional Sales Order information such as:

 

Customer PO Number/Reference Number

Users can record the customer’s PO Number or reference number on the Sales Order screen.

 

This allows the Sales Order to be searched later using either:

 

  • The Sales Order Number created by C2W Inventory
  • The customer’s PO Number / reference number

This is useful when customers refer to their own PO Number instead of the C2W Sales Order Number.

Sales Order Totals

The system automatically calculates Sales Order totals when items are added or updated.

 

This includes:

 

Total = Sub Total + Freight + Discount + Tax

 

⚠ Note: Discount should be entered as a negative value.

Add items into the Sales Order.
Adding Items to the Sales Order

There are two ways to add items into the Sales Order.

 

Option 1: Add Items Manually

Type the first few characters of the item number or item name.

The system will automatically show related matching items.

Select the correct item from the list.

Enter the Quantity.

Review the Unit Price. The system automatically pulls the price from the item details.

If needed, update the Unit Price for this Sales Order.

Review the Line Total.

The system automatically recalculates the Purchase Order totals.

 

Option 2: Batch Copy Items from Excel

Users can quickly import multiple items into the Sales Order using the Batch Copy Items feature.

 

The Excel format should contain the following columns:

 

  • Item
  • Quantity
  • Unit Price

Prepare the item list in Excel.

Select and copy the cells using CTRL+C.

Click the Batch Copy Items button.

The copied data automatically populates into the Sales Order.

Review totals and click Save.
Sales Order Workflow

After the Sales Order is saved, the order can continue through the sales workflow.

 

The Sales Order may later be:

 

  • Picked partially
  • Picked fully
  • Marked as paid
  • Edited if necessary

Once items are picked, the picked quantity is deducted from inventory automatically.

 

Creating a shipment is optional and can be used when users want to record shipping details, generate a shipping label, or track shipment information.

The system can track related sales activity, including:

 

  • Inventory Status
  • Payment Status
  • Picking History
  • Shipment History
  • Customer Order History

After creating a Sales Order, users can continue with:

 

  • Picking the Sales Order
  • Recording customer payment
  • Creating a shipment if needed
  • Printing or emailing order documents
  • Reviewing customer order history

Before saving the Sales Order, check:

 

  • Customer information
  • Shipping address
  • Item quantity
  • Unit price
  • Discount
  • Taxing Scheme
  • Freight amount

This helps reduce order errors and improves fulfillment accuracy.

Keeping customer information and item pricing updated helps speed up Sales Order creation and improves order accuracy.
