Customers are used to manage sales-related information and connect Sales Orders, shipments, payments, and customer history within C2W Inventory.
Before creating Sales Orders, customers should first be added into the system.
C2W Inventory allows businesses to store customer contact details, billing information, shipping addresses, and payment information in one centralized location.
There are two ways to create customers in the system:
- Create customers manually one by one
- Import customers in batch using the Import Data screen
Important
Customer information should be kept updated to ensure accurate Sales Orders, invoices, and shipping details.
Creating a Customer
Basic Information
The following customer information can be recorded:
- Customer Name
- Contact Name
- Phone Number
- Email Address
- Fax Number
- Website
The Customer Name field:
- Is required
- Should be unique within the system
- Is used throughout Sales Orders, shipments, and payment records
The system automatically saves the customer information after clicking Save.
Billing and Shipping Address
Users can maintain both billing and shipping addresses for each customer.
The following address information can be recorded:
- List Item
- AttentionB
- CountryB
- Address1B
- Address2B
- CityB
- StateB
- ZipB
Shipping addresses are especially important for:
- Shipment generation
- Shipping label creation
- Delivery accuracy
- Sales Order fulfillment
Users can also use the Copy Billing Address option to quickly copy billing information into the shipping address section.
Payment Information
Customer payment information can also be configured within the customer record.
This includes:
- Currency
- Payment Method
- Taxing Scheme
- Tax Exemption
This information can later be populated automatically during Sales Order creation.
Customer Balance
The Balance field is calculated automatically by the system.
The customer balance reflects:
- Unpaid Sales Orders
- Outstanding invoices
- Customer payment activity
Users do not need to manually update customer balances.
Remarks
Additional customer notes or remarks can be recorded for internal reference.
This can be useful for:
- Delivery instructions
- Customer preferences
- Internal communication notes
- Payment reminders
Customer Information in Sales Orders
Once a customer is created:
- Customer information automatically populates during Sales Order creation
- Sales workflows become faster and more accurate
- Shipping and invoicing become easier to manage
- Customer payment tracking becomes more organized
Batch Import Customers
In addition to manually creating customers, users can also batch import customers using the Import Data screen.
This is especially useful when:
- Migrating from another system
- Importing customer data from Excel
- Setting up the system for the first time
- Managing a large customer database
