Sales Orders are used to manage customer orders, track ordered items, and prepare orders for picking and fulfillment.
In C2W Inventory, Sales Orders can be created manually or by batch copying items from Excel.
Once a Sales Order is created, the system can track order status, picking status, payment status, shipment activity, and customer order history.
Important
Before creating a Sales Order, make sure the customer already exists in the system.
Creating a Sales Order
Sales Order Header
Once the customer is selected, the system automatically populates predefined customer information.
This may include:
- Vendor Contact Information
- Billing Address
- Shipping Address
- Payment Terms
- Taxing Scheme
The Sales Order Number is generated automatically by the system using the prefix: SO-
Users can also enter additional Sales Order information such as:
- Order Date
- Expected Date
- Vendor Reference Number
- Freight Charges
- Discount
- Tax Scheme
- Remarks
Customer PO Number/Reference Number
Users can record the customer’s PO Number or reference number on the Sales Order screen.
This allows the Sales Order to be searched later using either:
- The Sales Order Number created by C2W Inventory
- The customer’s PO Number / reference number
This is useful when customers refer to their own PO Number instead of the C2W Sales Order Number.
Sales Order Totals
The system automatically calculates Sales Order totals when items are added or updated.
This includes:
- Sub Total
- Tax Amount
- Total Amount
Total = Sub Total + Freight + Discount + Tax
⚠ Note: Discount should be entered as a negative value.
Adding Items to the Sales Order
There are two ways to add items into the Sales Order.
Option 1: Add Items Manually
The system automatically recalculates the Purchase Order totals.
Option 2: Batch Copy Items from Excel
Users can quickly import multiple items into the Sales Order using the Batch Copy Items feature.
The Excel format should contain the following columns:
- Item
- Quantity
- Unit Price
Sales Order Workflow
After the Sales Order is saved, the order can continue through the sales workflow.
The Sales Order may later be:
- Picked partially
- Picked fully
- Marked as paid
- Edited if necessary
Once items are picked, the picked quantity is deducted from inventory automatically.
Creating a shipment is optional and can be used when users want to record shipping details, generate a shipping label, or track shipment information.

The system can track related sales activity, including:
- Inventory Status
- Payment Status
- Picking History
- Shipment History
- Customer Order History
