Vendors are used to manage supplier information and connect purchasing activity within C2W Inventory. Before creating Purchase Orders, vendors should first be added to the system.
C2W Inventory allows businesses to store vendor contact details, billing and shipping addresses, payment information, tax settings, remarks, and purchasing records in one centralized place.
There are two ways to create vendors in the system:
- Create vendors manually one by one from the New Vendor screen
- Batch import vendors from the Import Data screen
Important
The Vendor Name field is mandatory, limited to 50 characters, and must be unique. If the same vendor name already exists, the system will not allow the duplicate vendor to be added.
Creating a Vendor
Use the New Vendor screen when you want to add one supplier manually.
Basic Section
The Basic section stores the main vendor identity and system balance information.
- Name: Required. Maximum length is 50 characters. The name must be unique in the system.
- Balance: Calculated automatically by the system. It is the sum of all unpaid Purchase Order amounts for this vendor.
Users do not need to manually update the Balance field. When Purchase Orders are created, paid, or marked unpaid, the vendor balance updates automatically based on the payment status.

Use the Contact section to store the vendor representative and communication details.

Use the Billing Address section to record the vendor billing information used for purchasing and payment records.

Use the Shipping Address section to record where purchase order-related shipments or vendor documents should be associated.

If the shipping address is the same as the billing address, use the Copy Billing Address option to copy the billing information into the shipping address section.
Remarks
Use the Remarks field for internal notes about the vendor. For example, you can record special purchasing instructions, preferred communication notes, or other supplier details that may help your team.

Payment information helps standardize purchasing and payment details when creating Purchase Orders for this vendor.

When a vendor is selected during Purchase Order creation, the predefined vendor information can be populated automatically into the Purchase Order.
